Content Management
Content in context
Over the past decade, the ECM market
has experienced strong growth as
organisations make the transition from
paper-based document management
practices, automate manual processes
and replace existing information
management systems that have ended
up being complex and difficult to use.
As part of this process, more and more
are turning to enterprise information
management solutions, like M-Files, to
eliminate content chaos and information
silos and provide quick and easy access
to the right documents from any core
business system or device.
The trend of younger, tech-savvy
employees using their own devices
and apps to get work done faster and
more efficiently has put a strain on the
traditional IT department. Increasingly,
this is being asked to support business
applications across a variety of new
mobile platforms, as well as on legacy
ECM solutions that are trapped in
software architectures from an earlier,
more homogenous age, offer only limited
mobile support and are generally not
built for the cloud.
Key challenges
Faced with BYOD and Shadow IT, more
and more organisations are realising the
need to provide easy-to-use tools that
enable employees to access and manage
information better. The requirement for
such tools is becoming ever more urgent
in light of other key challenges:
1
The explosion in digital content.
IDC is predicting a 50-fold increase in
digital content from 2010-2020, with
90% consisting of unstructured content,
such as documents, email messages and
video. Businesses rely on fast access to
information to make smarter and faster
decisions. Yet already content chaos
reigns, with documents stored willy-
nilly – in filing cabinets, in network file
folders, in emails, in file sharing and sync
applications and in various business
systems – with employees wasting
enormous amounts of time searching for
the information they need.
2
The rise of the Millennial.
By the
year 2020, Millennials are expected to
make up 75% of the global workforce. This
new generation of information workers
is tech smart and wants solutions that
are fast, easy to use and device-agnostic.
Complex legacy ECM solutions that
require Millennials to change the way they
work will continue to lose market share
to more intuitive and simpler offerings
provided by emerging providers.
3
Emergence of the extended
enterprise.
Organisations are extending
their value chains and engaging more
deeply with external companies, such
as suppliers and distributors. This type
of collaboration only works if there is a
controlled, two-way flow of information
across enterprise boundaries. Next
generation solutions need to drive
productivity by supporting the sharing
of content and processes so that
information workers from different
organisations can collaborate securely.
4
Cloud, on-premises or hybrid
deployment?
Businesses are being
transformed by the adoption of cloud
and hybrid cloud deployments of core
business systems. Traditionally, content
management systems have been
deployed on-premise, but the emergence
of hybrid offerings that enable
organisations to leverage their existing
on-premises technology investments
in concert with cloud-based business
applications are becoming more popular.
Hybrid cloud solutions give organisations
the flexibility to manage content in
the best location for operational or
compliance requirements.
5
Security concerns.
High profile cyber
attacks and data breaches have pushed
The continued explosion of digital content, ‘millennials’ in the workplace
and the emergence of the extended enterprise are three key trends that
will drive the Enterprise Content Management (ECM) market in 2016,
argues Julian Cook, Director of UK Business at M-Files Corporation.
NEW!
M-Files has expanded its product
portfolio with an advanced
production scanning, document
capture and classification solution.
M-Files Capture enables enterprises
to digitise and capture paper
documents, with auto-classification

security to the top of the agenda, and
conversations about firewalls, disaster
recovery plans and resilient infrastructures
have become commonplace. Internal data
breaches pose an equal risk. Research from
the Association for Information and Image
Management (AIIM) shows that only 34%
of organisations see external hacking
and malware/viruses as the most likely
source of a security breach; more than
half (53%) regard unauthorised access by
staff as the biggest threat. Modern ECM
solutions include advanced access control
and permissions management capabilities
that go beyond basic security provisions.
In addition, comprehensive audit trails
and proactive reporting techniques enable
organisations to track irregular usage
patterns, out-of-hours access or any other
dubious activity.
Conclusion
The rise of Millennials, growth in cloud
adoption, ongoing security concerns and
the explosion of digital content are just
some of the factors that will continue to
disrupt the ECM market in 2016.
ECM software like M-Files is evolving
to serve the next generation of users who
expect to be able to access information
from anywhere at any time. By enabling
users to locate precisely the content
they need, regardless of which business
application it resides in, M-Files helps
eliminate content chaos and information
silos, removing the barriers between
workers and the information they need to
do their jobs effectively; and by helping
enterprises organise, manage, secure
and share their information, it leads to
better decisions, faster results, improved
collaboration and the highest levels of
security and compliance.
