With over 300 staff and a growing numbers of patients, the Centre identified a need for a faster and more efficient document creation process to improve productivity. The Centre’s consultants were using analogue tapes to record patient notes and relied on the physical handover of tape recordings to the secretaries for transcription. Such dated technology meant that the document creation process was lengthy and cumbersome. The admin staff experienced reliability issues in which tapes would break, and delays as recordings could not be sent for processing until the end of the working day. Saving time and money To modernise their admin process and improve productivity, The Horder Centre adopted digital dictation from Philips, which included SpeechMike microphones, coupled with SpeechExec software to route dictation files between the consultants and secretaries. An added-on speech recognition module turned the voice files automatically into text, saving much needed time for the secretaries, who only had to review the final documents. The document turnaround process, which previously required days to be completed, now took a maximum of 48-hours. Speech recognition saved time for the admin team, who were then able to accommodate further workload from extra clinics without the need to outsource temp staff. By adopting Philips SpeechExec, the Centre added extra welcome elements. The dictation profiles now show recording length and status, as well as visibility of priority documents. Letters are dictated immediately after the patient leaves enabling a steady administrative flow to the secretaries and overall smoother and faster document processing.
