Managed Print Services
Xerox has announced
new Document Analytics
capabilities that will enable
it to identify opportunities
for managed print services
clients to automate and
streamline their document
workflows.
As part of its MPS delivery,
Xerox analyses customers’
printing and document
workflows in three stages with
ever increasing levels of detail.
These include:
1. Point-in-time
assessments
to reveal a
customer’s current position
(including benchmarking
against their peer group);
2. Document Analytics,
which combine MPS data with
consulting to find out how
a customer could improve
It’s all in the detail
Xerox has enhanced its managed print services portfolio with new document
analytics capabilities and a more flexible print management solution
performance through MPS,
Centralised Print Services and
Workflow Automation; and
3. Workflow studies.
Once
Xerox has identified a particular
process that warrants more
attention, it introduces a
third level of detail using
ethnographic studies, workflow
studies, eFiling assessments
and security assessments.
Enhanced Document
Analytic features, including a
new Wave diagram, will enable
Xerox to provide even more
in-depth analysis of device-
centric data, application data,
mono/colour print volumes,
departmental print volumes,
hard copy filing requirements
etc. and then assess the
impact of introducing rules-
based printing, say.
Greater insight
James Duckenfield, managing
director of Newfield IT, Xerox
Large Enterprise Operations,
says that the enhancements
will enable Xerox to identify
inefficient processes by
providing more of an insight
into what is driving print
volume.
“In 2013, we did some
research into why people print
and found that they primarily
do so to read, to annotate, to
save or to share. We added a
fifth reason, to sign. We can
take these and look at the most
paper-intensive processes in
a department and look at why
people are printing and what
happens to the paper. This
allows us to hone in on paper-
intensive processes and start
to have a conversation with
our clients about how we can
help them be more efficient,”
he said.
In a demonstration,
Duckenfield showed how
focusing in on a single process,
in this case a financial
reporting mailshot, uncovered
numerous inefficiencies.
“Our analysis enabled us to
show how a high volume print
application being performed
in an office environment
doesn’t represent a good use
of office time, so we can have
a conversation with this client
about moving this application
into a centralised print services
area where it’s done by a team
of professionals. We can also
have a conversation with the
client about individual stats:
only 80% of the paper used in
this process is actually doing
Flexible and secure
Xerox has launched a new
Secure Print Manager Suite,
only available to Xerox MPS
customers, that provides
five essential tools to help
control costs and secure
print. These are:
1) Authentication at an MFP
with the same card employees
use to enter a building.
2) Follow You printing to
reduce waste and eliminate
the security risk from
abandoned print jobs.
3) Track & Audit so that
administrators can see what
end users are printing, with
audit trails for the most
sensitive documents inside an
enterprise.
4) Chargeback & Accounting
to individual budget centres.
5) Least cost printing so
print jobs are always output in
the most cost-efficient way.
The Secure Print Manager
Suite is provided by Nuance,
but with a uniquely flexible
licensing model for Xerox MPS
customers, as Andy Jones, VP
Workflow Automation, explains:
“Xerox Secure Print
Manager Suite has a unique
licensing model. Other
software packages have
either very limited or very
rich capabilities, and you
have to buy all the software
modules whether you use
them or not. And you have to
pay upfront for all the devices
you think you might have in
your environment. With XSPM,
you only buy the modules
you want. You can scale up
to any of the five modules
as you need them; and on a
month-by-month basis, we’ll
bill the customer only for those
devices that are active.”
Once the solution has been
designed and implemented,
Xerox will provide complete
support, including monitoring,
administration, patches and
upgrades.
