01732 759725 18 WORKPLACE Sarah Mackay, Head of Operations at UTAX (UK), picks the tools she uses every day and couldn’t do her job without I couldn’t do my job without... w The ‘find my phone’ feature on Apple My phone is always on silent, so I very easily lose track of it. When my phone is so essential to my dayto-day activities, it can be quite distressing to misplace it. Being able to use my Apple watch to find my phone is a real time saver! e U.FS (UTAX Fleet Services) Heading up the operations department means I am constantly needing to monitor and review our entire device fleet. I couldn’t do this without the incredible functionalities available with U.FS. The main features I use are the overview of systems, run reports, device views, device problems, and statistics. Without these functions my job would be much more complex and less efficient. r Thermal cup My thermal cup goes everywhere with me in the office for a constant supply of tea. It keeps drinks warmer for longer, and stores more than most mugs, it’s a win-win! Having a large cup of tea q My phone My entire world is on my phone, both professional and personal. I use the Outlook calendar which integrates with Teams and Exchange as part of Office 365, which enables me to keep track of work appointments and personal commitments. Being able to categorise appointments means that the rest of my team are able to see when I am busy, what sort of meetings I have and where I will be located. This is essential because most of my team rely on my calendar being up-to-date to be able to book a meeting or call me. As Head of Operations, a huge part of my role relies on excellent communication skills, whether it be speaking to dealers, the UTAX team, or suppliers. I predominantly communicate over the phone and use emails for follow-up. that doesn’t get cold so quickly is my time-saving tip for anyone who finds themselves constantly getting up for their next drink. t CRM We use Microsoft Dynamics as our CRM, but it has been heavily customised by our Infrastructure, Development and Support Manager. It has been customised so much that we would be hard-pushed to find another system so well matched to our business needs. From data entry to management analysis, prospecting to service delivery, CRM is used by everyone in the company on a daily basis. Data security is extremely important when it comes to our CRM because all customer and product data is stored on there. Not only is the software itself as secure as possible, but we can allocate internal permissions for different areas within CRM, and track activities of individuals using the system. https://www.utax.co.uk Sarah Mackay
